SECTION 1 — ROLE OVERVIEW
The Logistics Coordinator manages all delivery and pickup operations for OVMPS.
This includes working with partner logistics companies, tracking deliveries, resolving delivery issues, supporting return logistics, and ensuring smooth movement of goods from vendors to customers.
They serve as the central link between:
- Vendors
- Customers
- Logistics partners
- State Managers
- Customer Service (CSR)
- Quality Control (QC)
The goal is to ensure fast, safe, and reliable delivery across Nigeria.
SECTION 2 — MAIN RESPONSIBILITIES
2.1 Delivery Coordination
- Assign new orders to the appropriate logistics partner.
- Ensure intra-state deliveries follow OVMPS policy:
✓ Same-day delivery if order is placed before 12 noon
✓ 1–3 working days otherwise - Ensure inter-state deliveries follow the 7–14 working day policy.
- Make sure inter-state customers receive pickup notifications when items arrive at their designated station.
2.2 Tracking & Monitoring
- Track all shipments using logistics partner dashboards.
- Update CSR & State Managers on delivery status for pending or delayed orders.
- Identify failed deliveries and initiate corrective action.
2.3 Return & Reverse Logistics
- Coordinate pickup of returned items from customers.
- Ensure vendors collect their returned items promptly.
- Support QC in verifying returned items.
- Document every return movement for accountability.
2.4 Communication With Logistics Agents
- Maintain strong relationships with logistics partners in every state.
- Communicate delivery instructions, changes, cancellations, and urgent pickups.
- Get daily/weekly updates from logistics companies on operational challenges.
2.5 Delivery Issue Resolution
- Investigate customer complaints on:
✓ Late delivery
✓ Missing items
✓ Damaged parcels
✓ Wrong station delivery - Work with CSR to provide quick responses.
- Escalate serious issues to the General Manager.
2.6 Partnership Documentation & Performance
- Maintain records of logistics partner performance.
- Track key metrics:
✓ Delivery success rate
✓ Drop-off delays
✓ Damage frequency
✓ Customer complaints - Recommend the removal or suspension of logistics agents who violate OVMPS standards.
2.7 Reporting
Provide structured reports:
Daily:
- Delivery status summary
- Pending pickups
- Escalated issues
Weekly:
- Delivery performance review
- State-by-state challenges
- Logistics costs & trends
Monthly:
- Full logistics performance report
- Recommendations for improvements
SECTION 3 — WHAT THE LOGISTICS COORDINATOR MUST NOT DO
❌ Must not disclose customer addresses to unauthorized persons
❌ Must not handle customer refunds or approve refunds
❌ Must not edit vendor bank details or membership status
❌ Must not manually change delivery fees (set globally)
❌ Must not assign orders outside approved logistics partners
❌ Must not approve payments to logistics agents without delivery confirmation
❌ Must not transport goods personally unless officially instructed
SECTION 4 — REQUIRED SKILLS
- Strong communication skills
- Understanding of logistics systems in Nigeria
- Ability to multitask under pressure
- Problem-solving and fast decision-making
- Familiarity with OVMPS order status flow
- Good documentation and tracking skills
- Ability to coordinate with multiple states and partners
SECTION 5 — DAILY ROUTINE
Morning Tasks
- Review the list of new orders.
- Assign orders to logistics partners.
- Confirm which intra-state deliveries qualify for same-day dispatch.
- Check unresolved delivery complaints from the previous day.
Main Work Hours
- Track live deliveries and get updates from riders/logistics systems.
- Respond to CSR inquiries regarding order status.
- Follow up on delayed or stuck parcels.
- Coordinate return pickups or failed delivery re-attempts.
- Update internal logistics sheets and partner dashboards.
Afternoon Responsibilities
- Prepare logistics cost calculations for Finance Department.
- Review partner performance and identify weak points.
- Communicate with State Managers on localized logistics issues.
- Handle urgent escalations.
Closing Tasks
- Send end-of-day summary:
✓ successful deliveries
✓ delayed deliveries
✓ returns processed
✓ failed deliveries - Log all pending actions for the next day.
- File documents or digital proof of delivery.
